at the heart of executive leadership! We’re looking for a dynamic
and detail-driven Executive Assistant to support both the President
and CEO, someone who thrives on organization, anticipates needs
before they arise, and keeps top-level operations running
seamlessly. In this exciting position, you’ll serve as a trusted
partner to our executive team, managing complex schedules,
coordinating high-level meetings, and arranging travel with
precision and efficiency. You’ll play a key role in driving
productivity by ensuring priorities stay on track and strategic
initiatives are fully supported. Beyond logistics, you’ll help
shape the flow of communication and decision-making at the highest
level, preparing polished presentations, organizing critical
materials, and capturing key insights from leadership meetings.

goals and planning, helping turn vision into action. This role
offers frequent interaction with senior leaders and external
partners, making professionalism, sound judgment, and discretion

opportunity to make a real impact. What You’ll Do as an
Administrative Assistant: Manage and maintain the President’s and
CEO’s calendars, including scheduling meetings, appointments,
travel, and strategic planning sessions. Screen and manage incoming
phone calls and inquiries. Coordinate and support executive
meetings, including preparing agendas, gathering materials, taking
detailed notes, and distributing summaries or action items to the
executive team. Attend internal and offsite leadership meetings and
planning sessions to document discussions, track action items, and
support follow-up activities. Enter and maintain information in
third-party systems used for tracking organizational goals,
strategic initiatives, and leadership objectives. Coordinate
domestic and international travel arrangements for the President,
CEO, and other staff as needed. Prepare presentations, reports,
briefing materials, and other documents for executive meetings and
communications. Assist with compiling data and running reports from
internal systems to support executive decision-making and
operational visibility. Draft and manage professional
correspondence on behalf of the President and CEO, including email
communications and meeting follow-ups as needed. Coordinate
logistics for various departmental events and meetings, including
arranging meeting space, meals, necessary materials, and onsite
support. Maintain highly confidential information and exercise
discretion in all matters related to executive communications,
personnel matters, and strategic planning. Support special projects
and initiatives as assigned by the President and CEO. The base
salary for this position ranges from $61,000 to $71,000 annually
(equivalent to approximately $2,346 to $2,731 per biweekly pay
period, based on 26 pay periods per year). Final compensation will
be determined based on skills, experience, qualifications, and
other factors consistent with applicable California law.
Requirements 5 years of experience providing high-level
administrative support to senior executives, preferably at the
C-suite level. Demonstrated ability to manage sensitive and
confidential information with a high level of discretion and
professionalism, including executive communications, personnel
matters, and strategic planning activities. Proven ability to
manage complex calendars, competing priorities, and shifting
deadlines in a fast-paced environment. Strong organizational skills
with exceptional attention to detail and follow-through. College
degree preferred; equivalent experience will be considered.
Excellent written and verbal communication skills, with the ability
to interact professionally with executives, employees, and external
partners. Proficiency in Microsoft Office Suite (Outlook, Word,
Excel, PowerPoint) and experience with calendar and project
management tools. Experience coordinating domestic and
international travel arrangements and executive-level meetings.
Ability to work independently, anticipate needs, and proactively
resolve issues before they arise. Strong problem-solving skills and
the ability to think critically in high-pressure situations.
Experience supporting multiple executives or working in a
dual-reporting structure is a plus. Professional demeanor with a
high level of emotional intelligence and adaptability. This
position is based full-time on site in Oxnard, CA. Occasional
remote work may be permitted with prior approval, depending on
